The decision this workflow supports
A success message appears at the moment a guest expects reassurance. Wording such as all set can blur the difference between receiving a request and agreeing to it. Define exactly what the form has accomplished.
Put the review process in place
State that the request was received and show a reference if the workflow generates one. Explain who reviews it and only include a response period staff have approved. Keep the receipt separate from later staff confirmation, and avoid automatically changing the request’s status to booked.
Worked example for your team
A fictional guest submits a table request and sees a receipt. Ask them what they believe will happen next. If they say a table is now waiting for them, the wording needs revision even if a small disclaimer appears elsewhere. Test the same receipt after a catering inquiry to ensure it does not use reservation-specific language. The reference should help staff find the request, not imply approval. A useful receipt confirms a successful submission while leaving the restaurant’s actual decision and response process unmistakably separate.
Sample wording to approve
“Your request has been received for restaurant staff to review. This receipt does not hold a table or confirm an event. Keep reference [reference] if you need to contact the team again.” This wording is a draft for the restaurant owner to approve before use.
Fields for the staff handoff
Staff need request reference, request type, receipt timestamp, staff reviewer, and next-response wording. Mark uncertain details explicitly and keep the requested action separate from anything restaurant staff have already confirmed.
Acceptance tests before use
The success message says received rather than booked. Repeated submission is explained without promising duplicate prevention. The reference links to the correct request internally. Record the observed result, assign any mismatch, and repeat the affected scenario after correction.
