The decision this workflow supports
A downloadable menu can be convenient, but some guests want to read information directly on their phone. Decide which material belongs on a normal page and how the downloadable version will stay aligned with it.
Put the review process in place
Use the owner-approved menu content in a readable page and label any download clearly. Assign one review task that covers both versions. Do not infer ingredient or dietary-safety details while converting the material; unresolved descriptions go back to restaurant staff.
Worked example for your team
A fictional menu update changes a section heading and removes an old seasonal entry. Apply the approved change to both the readable page and the download, then compare them from a phone. A reviewer should be able to find the same current information through either route. If the conversion produces an unfamiliar description, send it back to the menu owner instead of filling the gap creatively. The purpose of maintaining two formats is convenient access, so the second format should not become a separate editorial source with different claims.
Sample wording to approve
“You can read the menu on this page or open the labeled download. Please contact staff about current availability or any specific food-suitability question before relying on a description.” This wording is a draft for the restaurant owner to approve before use.
Fields for the staff handoff
Staff need page version, download version, shared content owner, differences found, and staff review question. Mark uncertain details explicitly and keep the requested action separate from anything restaurant staff have already confirmed.
Acceptance tests before use
The page and download use the same approved information. The download link describes its purpose. A conversion does not add an unsupported ingredient or safety claim. Record the observed result, assign any mismatch, and repeat the affected scenario after correction.
