Describe event spaces without implying availability

A private-events page can help organizers understand a venue while still leaving date-specific decisions with staff.

01

The decision this workflow supports

A private-events page can help organizers understand a venue while still leaving date-specific decisions with staff. Photographs and room descriptions should not become an implicit promise that the same arrangement is available for every inquiry.

02

Put the review process in place

Use approved room names and explain which details the events team must confirm. Label example setups as examples. Give organizers a clear way to ask about dates, attendance and specific requirements without suggesting that submitting the form holds the space.

03

Worked example for your team

A fictional events page shows a previous celebration with a particular table arrangement. Add a caption explaining its illustrative role, then test whether a reader understands that staff must discuss the setup for their event. The inquiry should capture the preferred date and guest estimate without showing an invented availability calendar. Ask the events owner to review room names and any stated features. If the owner cannot confirm a detail, remove or qualify it rather than relying on the photograph as evidence that the arrangement is always available.

04

Sample wording to approve

“Explore the spaces shown here, then send an inquiry with your preferred date and guest estimate. The events team confirms availability, setup and the terms of any arrangement.” This wording is a draft for the restaurant owner to approve before use.

05

Fields for the staff handoff

Staff need room description owner, example photograph label, inquiry destination, review date, and unresolved detail. Mark uncertain details explicitly and keep the requested action separate from anything restaurant staff have already confirmed.

06

Acceptance tests before use

An example setup is visibly identified. The page does not show unverified live availability. A form submission cannot be mistaken for holding a room. Record the observed result, assign any mismatch, and repeat the affected scenario after correction.
