The decision this workflow supports
Some callers ask about hosting at the restaurant and off-site catering in the same conversation. A clear branch prevents the organizer from receiving two unrelated follow-ups or being sent repeatedly between teams.
Put the review process in place
Ask where the event is expected to take place and whether the caller is still comparing formats. If both remain possible, assign one lead owner to coordinate the inquiry. Keep the options visible without treating either one as selected or available.
Worked example for your team
A fictional organizer is comparing a gathering at the restaurant with catering at an office. The date and guest estimate are the same for both options. Assign one lead reviewer who can coordinate the discussion, and record the two formats as alternatives. The organizer should not receive separate calls asking for the same date and contact details. In the test, have one staff member explain the unresolved decision from the note. If they assume the venue has already been chosen, improve the summary before using the workflow.
Sample wording to approve
“Are you mainly considering an event here, catering elsewhere, or comparing both? I can record that and ask one team member to coordinate the next conversation with you.” This wording is a draft for the restaurant owner to approve before use.
Fields for the staff handoff
Staff need proposed event location, formats being compared, common date and attendance, lead owner, and next question. Mark uncertain details explicitly and keep the requested action separate from anything restaurant staff have already confirmed.
Acceptance tests before use
The inquiry has one lead contact. Both options remain visible when undecided. The organizer does not receive duplicate requests for the same basic details. Record the observed result, assign any mismatch, and repeat the affected scenario after correction.
