The decision this workflow supports
An organizer may want to bring decorations, signs or outside setup materials. These requests need an owner’s review because a photograph of a previous event does not grant permission for a new arrangement.
Put the review process in place
Collect a brief description of what the organizer wants to bring and when they hope to set it up. Ask staff to confirm the restaurant’s current rules directly. Do not give installation, hazard or material-safety advice in the automated conversation.
Worked example for your team
A fictional organizer asks to bring signs and arrange them before guests arrive. The assistant records the proposed items and setup period for the events owner. It should not approve placement, suggest installation methods or assume that materials shown in an old event photo are allowed now. The staff reviewer decides what further description is needed and communicates any permission. Test a follow-up where an outside supplier will do the setup. That addition should be visible as a coordination question, not treated as automatic authorization for the supplier to enter.
Sample wording to approve
“I can pass your decoration and setup request to the events team. Please describe the items and your proposed timing. Staff will confirm what is permitted and how to coordinate it.” This wording is a draft for the restaurant owner to approve before use.
Fields for the staff handoff
Staff need proposed items, requested setup period, outside supplier if relevant, event reference, and permission owner. Mark uncertain details explicitly and keep the requested action separate from anything restaurant staff have already confirmed.
Acceptance tests before use
A previous-event photo is not treated as permission. The assistant provides no safety instructions. The requested approval is clearly assigned to staff. Record the observed result, assign any mismatch, and repeat the affected scenario after correction.
