Prepare an office-lunch inquiry for the catering team

An office-lunch organizer may care as much about building access and timing as menu options.

01

The decision this workflow supports

An office-lunch organizer may care as much about building access and timing as menu options. Collect enough logistical context for a staff conversation without accepting instructions that the restaurant has not agreed to provide.

02

Put the review process in place

Ask for the requested lunch date, approximate attendance and whether the event is at one office. Note any reception-desk or delivery-window question for the catering manager. Do not promise entry to a building, a delivery time or setup assistance during intake.

03

Worked example for your team

A fictional organizer requests lunch at an office where deliveries are normally received at reception. They ask whether somebody can carry items to a meeting room upstairs. Capture that as a service question, not a delivery instruction the restaurant has accepted. The manager needs the office area, event timing and requested arrival arrangement to assess the inquiry. Review the summary for separate treatment of the event time and the hoped-for arrival window. Those may differ, and combining them into one unlabeled time can make the first callback less useful.

04

Sample wording to approve

“I can pass an office-lunch inquiry to our catering team. What date and guest count are you considering, and are there building-access or timing questions they should review?” This wording is a draft for the restaurant owner to approve before use.

05

Fields for the staff handoff

Staff need office area, requested date, guest estimate, arrival-window request, and organizer contact. Mark uncertain details explicitly and keep the requested action separate from anything restaurant staff have already confirmed.

06

Acceptance tests before use

The office name is not mistaken for a billing approval. A delivery window is marked requested. An access question appears in the manager’s summary. Record the observed result, assign any mismatch, and repeat the affected scenario after correction.
