Record date flexibility for a catering request

An organizer may have one preferred date and several acceptable alternatives.

01

The decision this workflow supports

An organizer may have one preferred date and several acceptable alternatives. Treating every date as a separate inquiry makes follow-up confusing. Staff need the preference order and the organizer’s real deadline for choosing.

02

Put the review process in place

Keep one inquiry with ranked dates and distinguish fixed requirements from flexible ones. Ask whether time of day can also change. The catering manager should review feasibility before anyone offers a slot or invites the organizer to rely on availability.

03

Worked example for your team

A fictional organizer prefers Friday evening but could consider Thursday if needed. They cannot move to the following week. The summary should preserve that ordered choice and the limit on flexibility. A note that says flexible dates loses a meaningful constraint. Ask staff to identify which alternative they could discuss without reopening the entire intake. Then test a correction where Thursday becomes unavailable to the organizer. That update belongs in the existing inquiry and should not create a second event or imply that Friday has been held.

04

Sample wording to approve

“Which date is your first choice, and are there alternatives you would consider? I will mark those as preferences for the catering team, not available dates or held slots.” This wording is a draft for the restaurant owner to approve before use.

05

Fields for the staff handoff

Staff need preferred date, ranked alternatives, flexible arrival period, decision deadline, and organizer contact. Mark uncertain details explicitly and keep the requested action separate from anything restaurant staff have already confirmed.

06

Acceptance tests before use

Alternative dates stay under one inquiry. A fixed date is not rewritten as flexible. No date is described as reserved before staff confirmation. Record the observed result, assign any mismatch, and repeat the affected scenario after correction.
