The decision this workflow supports
An organizer comparing options may need information before an internal meeting. A useful deadline explains when a response matters, but it should not become a delivery promise that the restaurant has not accepted.
Put the review process in place
Ask for the date and time by which the organizer hopes to hear back and the specific decision they are making. Mark this as the organizer’s requested deadline. The catering owner determines whether that timing is achievable and responds accordingly.
Worked example for your team
A fictional organizer needs options before a planning meeting on Tuesday afternoon. The event itself is several weeks later. The assistant should record Tuesday as a requested response deadline, not as the catering date or a restaurant commitment. Staff can assess whether they can meet it and communicate a realistic next step. Have the reviewer identify all three pieces of timing: event date, organizer decision point and any approved response plan. A missing response plan should stay missing rather than being filled with the organizer’s preferred time.
Sample wording to approve
“When would you ideally need information from the catering team, and what decision is that helping you make? I will mark it as your requested deadline for their review.” This wording is a draft for the restaurant owner to approve before use.
Fields for the staff handoff
Staff need requested response deadline, decision being made, event date, contact availability, and catering owner. Mark uncertain details explicitly and keep the requested action separate from anything restaurant staff have already confirmed.
Acceptance tests before use
A requested deadline is not labeled a guaranteed response. Staff can see the decision context. A missed deadline remains visible instead of automatically closing the inquiry. Record the observed result, assign any mismatch, and repeat the affected scenario after correction.
