The decision this workflow supports
An address does not always identify the entrance a guest needs. A courtyard, shared building or side entrance can make an otherwise correct location answer incomplete. Use information someone on the restaurant team has actually checked.
Put the review process in place
Ask staff to describe the guest entrance in a short sentence using visible landmarks. Separate that description from parking and access questions. Avoid promising that a route meets someone’s needs; offer a staff conversation when the person requests specific assistance.
Worked example for your team
Imagine the postal address faces one street but the guest entrance is beside a courtyard. Have a staff member walk the approach and approve a short description using a visible sign or landmark. A fictional caller who says they are at the street-facing door should receive that description without a speculative route through staff areas. Another caller asks about a specific access arrangement; that question goes to staff. The note should preserve the question rather than converting it into an unsupported statement that the entrance will meet the caller’s needs.
Sample wording to approve
“The published guest entrance is described as follows: [approved entrance description]. If you need more specific information about reaching the entrance, I can ask staff to contact you.” This wording is a draft for the restaurant owner to approve before use.
Fields for the staff handoff
Staff need location, approved entrance description, caller’s unanswered access question, contact preference, and reviewer. Mark uncertain details explicitly and keep the requested action separate from anything restaurant staff have already confirmed.
Acceptance tests before use
The script names the correct building entrance. An ambiguous landmark is removed after staff review. A specific assistance request reaches a person without an invented assurance. Record the observed result, assign any mismatch, and repeat the affected scenario after correction.
