The decision this workflow supports
An overnight caller may assume somebody is monitoring the inbox immediately. A useful after-hours message separates published opening hours from the next staffed opportunity to review requests. Do not copy a response promise from a daytime script.
Put the review process in place
Ask the manager which shift actually reviews overnight messages. Use that review period in the script only after the team agrees to cover it. If no dependable period exists, state that staff will review the request when available and provide the approved contact route.
Worked example for your team
Imagine a guest calls on Monday night about dining on Wednesday, while the restaurant’s next staffed review period is Tuesday afternoon. The note should retain Wednesday as the visit date and Tuesday as the internal review period; they are different facts. If the caller asks whether someone will call before noon, the assistant must not shorten the review window to please them. Have the opening reviewer locate the item and explain the next action using only the note. If they need to listen to the whole conversation, improve the summary.
Sample wording to approve
“The restaurant team is currently away from the phone. I can record your request for their review. This message does not hold a table or confirm an event.” This wording is a draft for the restaurant owner to approve before use.
Fields for the staff handoff
Staff need preferred callback period, request category, caller contact, next assigned review shift, and request status. Mark uncertain details explicitly and keep the requested action separate from anything restaurant staff have already confirmed.
Acceptance tests before use
A late-night inquiry receives the after-hours wording. A closed-day request does not promise same-day contact. The opening shift can find the request without searching personal messages. Record the observed result, assign any mismatch, and repeat the affected scenario after correction.
