Route a proposed catering time change

Changing an event time can affect several arrangements that the assistant cannot inspect.

01

The decision this workflow supports

Changing an event time can affect several arrangements that the assistant cannot inspect. Avoid simply replacing the old time in a summary. Keep the request visible as an amendment for a staff decision.

02

Put the review process in place

Capture the original event reference, requested new time and whether the date is also changing. Ask when the organizer needs a response. The coordinator should check the complete arrangement before agreeing; the assistant should not infer that a small change is automatically acceptable.

03

Worked example for your team

Imagine an organizer asks to move an event from early afternoon to late afternoon but keeps the same date. The assistant should capture both the reference and the requested new time, without deciding whether the change is minor. Staff may need to review the whole arrangement. Next, test a request to move an event past midnight. The summary must identify the correct calendar date as well as the clock time. A precise pending amendment is more useful than a confident statement that the event has been rescheduled.

04

Sample wording to approve

“I can ask the catering coordinator to review a time change. What time are you requesting now, and does the date remain the same? This records the request without changing the arrangement.” This wording is a draft for the restaurant owner to approve before use.

05

Fields for the staff handoff

Staff need event reference, requested new time, date-change status, organizer response deadline, and coordinator. Mark uncertain details explicitly and keep the requested action separate from anything restaurant staff have already confirmed.

06

Acceptance tests before use

A midnight-crossing change keeps the correct date. The old arrangement is not silently overwritten. A promised response time appears only if staff approved it. Record the observed result, assign any mismatch, and repeat the affected scenario after correction.
