The decision this workflow supports
A catering summary should help a manager begin the next conversation, not reproduce every sentence of the intake. Put the decision-driving facts first and keep the unanswered questions visible rather than blending them into assumptions.
Put the review process in place
Use a short event overview followed by requested format, guest estimate and next action. Mark provisional details explicitly. Have the catering owner review the summary against the caller’s readback before using the format across the restaurant’s pilot.
Worked example for your team
Use a fictional inquiry with a preferred Thursday lunch, approximately thirty guests and delivery as a requested format. The organizer is unsure of the final venue and asks for a callback after a meeting. The summary should put the event outline first, then show the unresolved venue and contact preference. Ask a second reviewer who did not hear the intake to identify the next question. They should not need to guess whether the date, delivery or menu has been confirmed. The exercise tests clarity rather than the length of the summary.
Sample wording to approve
“Let me check the inquiry: [date], approximately [guests], and a request for [format]. The catering team still needs to confirm availability, menu and pricing. Have I missed an important question?” This wording is a draft for the restaurant owner to approve before use.
Fields for the staff handoff
Staff need event overview, provisional details, unresolved questions, preferred response route, and next assigned action. Mark uncertain details explicitly and keep the requested action separate from anything restaurant staff have already confirmed.
Acceptance tests before use
The summary fits a quick staff read. Uncertain details remain uncertain. A second staff member can identify the next action without listening to the entire conversation. Record the observed result, assign any mismatch, and repeat the affected scenario after correction.
