The decision this workflow supports
A catering or events inbox may depend on one person who is not on every shift. A useful backup rule identifies who can triage the request without granting that person authority to promise arrangements beyond their role.
Put the review process in place
Name a primary reviewer and a backup for each request category. Define what the backup may do, such as acknowledge receipt or ask for missing information. Keep quotation, booking and exception approvals with the authorized staff member unless the owner explicitly delegates them.
Worked example for your team
A fictional events coordinator is away when a new room inquiry arrives. The designated backup may acknowledge receipt and ask for the missing date, but has not been authorized to quote terms or offer availability. The note should show both the backup’s completed action and the decision awaiting the coordinator. Test what happens if the backup is also unavailable. The owner needs a defined fallback review route; the assistant should not invent a personal contact or claim that somebody will respond immediately simply to avoid leaving the request pending.
Sample wording to approve
“Staff wording example: the usual coordinator is away from this shift. I can acknowledge the inquiry and collect the missing details, then pass it to the person who can confirm arrangements.” This wording is a draft for the restaurant owner to approve before use.
Fields for the staff handoff
Staff need request category, primary owner, backup reviewer, permitted actions, and pending approval. Mark uncertain details explicitly and keep the requested action separate from anything restaurant staff have already confirmed.
Acceptance tests before use
An absent owner triggers the documented backup. The backup does not promise unauthorized terms. The request remains open until an authorized decision is recorded. Record the observed result, assign any mismatch, and repeat the affected scenario after correction.
